Discord webhook announcements: setup and scheduling
Send a useful announcement to the right Discord channel, then verify the message. Learn where webhook delivery, member notifications, and Announcement channel publishing differ.
Create an incoming webhook for your chosen Discord channel, connect its private URL to a publishing tool, and prepare the message. The tool sends it when the scheduled time arrives. In PostOnce, the Discord connector supports text and image/video attachments, suppresses mentions, and records the delivery result. Posting into a channel does not automatically publish the message to servers following an Announcement channel.
Which kind of announcement do you need?
An incoming webhook is a private URL that lets another service post into a Discord channel. It suits release notes, event reminders, and community updates. It needs a service or script to send the message; creating the webhook alone does not create a publishing schedule.
For an occasional update, writing directly in Discord may be enough. Use a scheduler when you want to prepare updates ahead of time or coordinate Discord with other destinations. The multi-channel publishing guide explains how to keep each version useful.
Discord also has a specific Announcement channel type, available on Community servers. Its Follow feature distributes a message after a separate Publish action. PostOnce sends the message to the connected channel; it does not perform that follow-up action. This walkthrough starts with a regular text channel.
How do you create the webhook?
You need permission to manage webhooks in the destination channel. Ask the server administrator for that permission or for a dedicated webhook if you cannot access the controls.
- Open Discord’s Server Settings and select Integrations, then Webhooks. You can also reach the channel’s integrations from its settings.
- Create a webhook and choose the exact text channel that should receive your updates.
- Give it a recognizable name, such as “Community updates,” and check its channel assignment.
- Copy the Webhook URL and enter it only in the destination connection form of the service you intend to authorize.
Discord’s webhook setup guide shows the native controls. Treat the copied URL like a password: anyone holding it can use that webhook. Keep it out of announcements, shared screenshots, and source repositories. If it is exposed, remove that webhook in Discord and connect a replacement.
Schedule the announcement in PostOnce
- Open Destinations, choose Add destination, and select Discord. Enter the dedicated Webhook URL.
- Confirm the displayed webhook name. Connection verification reads webhook metadata without sending a test message, so also check the selected channel in Discord.
- Choose Create and write the announcement. Select the connected Discord destination and review its complete copy in Composer.
- Save a draft while checking the date, link, and attachments. Keep the first delivery text-only if you want to check the route before adding media.
- Choose the date, time, and timezone, then review and confirm the scheduled delivery. A campaign uses one shared schedule; separate campaigns let you choose different times.
- After the scheduled time, inspect the destination result and open the Discord channel to confirm the actual message.
The schedule is the requested delivery time. Network delays or provider limits can affect when the message appears. A successful result confirms a message was accepted; it does not measure who read it. Check the Discord connector details when preparing your media.
Check the message before scheduling
| Item | What to check |
|---|---|
| Text | Up to 2,000 characters, including links. Put a long release note on your website and share its useful summary. |
| Attachments | Up to four images or videos, each at most 10 MiB, with a combined upload at most 25 MiB. |
| Mentions | User, role, @everyone, and @here mentions are suppressed in messages sent through this connector. |
| Message format | Composer sends your text and supported attachments. It has no controls for custom embed payloads, buttons, or polls. |
These are PostOnce’s product limits; another Discord client may expose different options. Add image descriptions to media where needed, and keep essential event details in the message itself.
Mention suppression prevents pasted handles from turning into pings. It does not promise a silent message: members’ ordinary channel notification settings still matter. Discord’s mention documentation also explains why even an allowed mention cannot guarantee a push notification.
Write an announcement people can act on
Here is a fictional workshop announcement. The event and example address are illustrative; replace them with your confirmed information before scheduling.
Our community workshop is on 12 November at 18:00 UTC. We’ll turn one draft tutorial into a short, usable checklist. Bring a draft or join to watch. The session lasts 45 minutes, including questions. Details and registration: https://example.com/community-workshop
The copy tells members what happens, when it happens, what to bring, and where to register. Open the final link before sending. If the announcement also goes to a public social account, adapt the explanation for people who do not already know your community.
Why did the announcement fail?
| What happened | What to check |
|---|---|
| The connection fails | Check that the webhook still exists in Discord and that you copied its complete URL. Reconnect after replacing a deleted webhook. |
| Composer rejects the message | Read the compatibility message. Shorten the text or adjust the attachment count, type, and size before scheduling again. |
| The send times out | Check the destination channel first. Discord may have accepted the message even when its response was lost. |
| The message appears without a ping | This connector suppresses mentions. Confirm the message in the channel; absence of a notification does not establish delivery failure. |
| Following servers see nothing | Check the separate Publish action in your Discord Announcement channel. A webhook send does not complete it. |
PostOnce avoids automatically replaying an uncertain Discord send. If other destinations succeeded, preserve those deliveries while investigating Discord. Follow the scheduled-post recovery guide before creating a replacement.
Common webhook questions
Do I need to create a Discord bot?
No. An incoming webhook can send messages without a bot account. Its URL provides access, so protecting that URL is part of controlling who can post.
Can I send into a forum or a thread?
Discord’s API supports thread routing, but Composer has no forum or thread destination controls. Forum and media channels require extra routing information. Use a regular text channel for this walkthrough; a successful connection check alone does not establish that a specialized route will publish correctly.
Can I announce in several channels?
Yes, by creating and connecting a dedicated webhook for each intended channel. Review the destinations separately and expect a separate delivery result for each. Members may belong to several channels, so avoid repeating an update where it adds no value.
